Late last year we had recommended to the client that they look at adding an Insurance Verification Button to the top of the Website/Landing Page to get a more seamless insurance verification process going. Steven Jacobs, πŸš€ at Healthcare Success Steven , found this website Alo house another Recovery center that is currently doing it, so we used this as a reference, included below.

I need to found out if 
1. there is a way to implement this on the current website?
2. How long would this process take? 

They also asked us a few questions as well. I think if you can answer the above first then that will help in determining the questions below. I am attaching the form they created as well. 

Β·         We’ve added β€œMedicaid” as an option under β€œType of Plan” Can we create conditional logic in the form so that when Medicaid is selected, either the Group or Policy number is not required? (We’re checking into which one Medicaid does not have and we’ll get back to you on that. It will be either one or the other that we won’t want to require if Medicaid is selected. Do we have this ability?)
Β·         Can we create a β€œfile upload” section where users can take a photo of the front and back of their card? This would be really useful if a user is filling out the form on their phone; they can click β€œfile upload” and use their camera to snap pictures of the card. We’d want conditional logic so they wouldn’t have to fill out all the fields of the form that are already covered by providing images.

Alo Recovery is using Gravity Forms for the contact forms, which is what we use, but there is no way for me to determine if any of their forms are secure or HIPAA compliant.

If we do this for Rosecrance, we'll need to do the following:
  • Setup Hushmail or suggest they use a HIPAA-compliant email service. We're asking for protected health information (PHI), we need to make sure we protect them and ourselves.
  • We can use conditional logic to show/hide things based on choices in the form, we've done this on other clients.
  • I'm not sure about file uploads. We can do them in Gravity Forms, and in Hushmail, but we're using Gravity Forms to send data to Hushmail, I'm not sure if this is an apples-to-apples implementation. We could test this to see if this works, a fallback would be to use a HTML form from Hushmail and style it to match the website.
Timeline:
  • One day to build/setup the form, with conditional logic.
  • One day to test Hushmail integration.
  • Optional - one to two additional days to replace Gravity Forms with Hushmail form to ensure file uploads are available.

Right now our forms from the website go to our β€œFootprints” ticketing system so that our Access dept. can track them. The forms are sent to Footprints via webhooks which I believe Matt Getzelman from Rosecrance IT and Scott Orchard worked on previously together. 

We’d like these forms to come through in the same way, if possible, so that our Access dept. can handle them in the same way through their Footprints system. I know there are a lot of moving pieces with this project so I’m trying to loop in everyone who it may affect.

Would this be possible?

The Landing Pages are using Webhooks, the website is just forwarding email to the email address that goes into their Footprints system. Neither system is HIPAA compliant.

We could potentially forward the requested information, but what they provided in the word doc includes Protected Health Information (PHI) which requires a HIPAA compliant solution for processing on the website and processing in their system. If their software is HIPAA compliant, we could potentially submit the data to their service, and make sure no information is stored on the site.

We should discuss this further with the team, and Stewart, as he wants to make sure we're not open to HIPAA compliance violations. We also need to find out if their software is HIPAA compliant, I believe this is what they may be using:

Another thing to consider, this may require a couple weeks to setup, test and QA properly.

Thanks for your feedback. So I think the first thing to do is double check that footprints system is HIPPA compliant I know they adhere to all HIPPA standards so I can't imagine it is not. That will help us determine next steps. 

I am happy to regroup with Stewart when he is back, but lets try to get this as far a long as possible before looping him in.

That sounds perfect, double check that Footprint is HIPAA compliant. We can potentially setup a form with the additional fields they need, and have the information submit to Footprints, similarly to what we do with Hushmail, which ensures the website does not store any PHI.

The only thing I'm not sure we can do this way is file uploads. I'm not if we can directly send files to their system. A work around could be to potentially provide language explaining a way to securely send them a file.

The last thing to consider is this may require more back and forth between us and their team (meaning additional labor) to work out the details and/or formatting. What's nice about Hushmail, is it just takes the submitted form data. I know with Unbounce Webhook to Footprints communication, it required we map certain fields to specific values for the data to be processed by Footprints. I'm not sure how much additional work, if any, is involved.

To reiterate, I need two things before we can make a decision on this:
  1. Is their Footprints software HIPAA compliant? The reason I ask, is we're going to potentially transmit sensitive information (date of birth, insurance plan numbers, and potentially a photo of their ID cards) from the website we host to their software. We could most likely do this with Hushmail, but that's not part of their patient on-boarding workflow.
  2. Can Footprints support file uploads from a contact form on a website? Form submissions from the site to their Footprints software are sent as text via email. Gravity Forms supports file uploads, but I believe these uploads are stored on the website. If these uploads include photos of ID cards, we will want to avoid storing that information on the website. I do not know if the Footprints software could handle file uploads from the website. I'm inclined to believe we'd need to work with an API or build a connector to safely transmit sensitive file uploads.
An alternative to file uploads from the insurance form, would be to provide language that highlights an alternative method to securily send files with sensitive information. My accountant uses a service like this, where you add an email address, select your file, and send away. We could recommend this as an option.
